Keys carry a role and a per-minute rate limit and are created in the app under Settings → Developers; the secret is shown once and stored only as a hash. The OpenAPI 3 document is public and needs no credentials — https://inventory-system.com/api/inv/v1/openapi.json — with a browsable console at https://inventory-system.com/api/inv/v1/docs. Inside the app the Developers page adds a live API console, key management, webhook subscriptions with test deliveries, and a log of recent API calls - Tax: multi-rate VAT and a universal tax engine (multi-tax GST+PST, compound, withholding, tax-inclusive prices, cash rounding) with presets for DE, AT, FR, IT, ES, PT, NL, UK, CH, UA, PL, US and CA; documents and reports localizable per language - Inventory depth: serial and lot tracking with expiry dates and FEFO picking, moving-average cost, min-stock reorder screen that drafts purchase orders per preferred vendor, barcode scanning by camera or USB scanner, printable barcode labels - Object model: every record (item, customer, document, location, asset, lot, bin, pick task, shipment) is a business object with a page showing live computed figures, its relations, and one merged timeline of everything that happened to it; a single search box spans them all - Alerts: rules for reorder point, minimum stock, overstock, lot expiry, delayed purchase orders and customer credit limits, evaluated on a schedule into an inbox; thresholds are per company, and a hard credit limit blocks approval rather than only warning - AI (Premium, opt-in — off until the company consents): an assistant that answers questions about the company's own data through the same permissions the user has, with personal contact and payment details stripped before anything reaches the model; it may PROPOSE drafts (purchase order, transfer, document, reorder level) that a human confirms, and can never approve, pay, cancel or delete; bring-your-own provider key supported, chat history optional, full export and erasure available - Forecasting (Premium): demand rate, projected stockout date and order quantity computed from the company's own sales history with a confidence label; each answer shows its formula and inputs, and reports insufficient history instead of extrapolating - Business simulator (free plan included; a longer projection on paid plans): the company played forward one day at a time, from the purchase orders and sales orders it already holds. Goods arrive on the delivery date of each purchase order; a sales order ships if the goods are on the shelf and waits whole if they are not; an order that waits raises a purchase order for what is missing; money leaves on the vendor's terms and arrives on the customer's; wages leave on the date of the purchase order that carries them. An order can repeat daily, weekly or monthly from one document with a rule, and the form previews the dates. The run ends in a cash flow and a profit and loss, by day and by month, with the purchases it had to place and the days the cash goes low. There is no randomness, no seed and no band: the same orders over the same dates give the same figures. It reads the documents and writes nothing into stock, documents or books. The panel has two controls — an end date and a Start button — and the plan sets how far ahead it may look: 90 days free, a year on Pro, two years above that - Repeating work (free on every plan): one document carries the RULE — the same sales order every week, the same purchase order every month — and the app expands it into DATES, not into copies. Each date stays a plan until a human accepts it: press the button on that date line and only that invoice, item receipt or sales receipt is created, while every other date stays open, so one invoice can no longer close a standing order. A date that does not happen is skipped, and a week that needs a different quantity is changed on its own child document without touching the rule. Money repeats the same way: rent, electricity and subscriptions are kept as a rule on the Payments out screen instead of an invented supplier, the rule names the vendor it pays and the account the money leaves, nothing is ever paid automatically — the app only shows what is due, and a due date on a weekend moves to the Monday. The dashboard lists the next seven days of money to pay, goods to ship and goods to receive, late first; repeating orders and repeating bills both feed the business simulator, and a draft is kept out of the forecast with one checkbox - One record for money that leaves (free on every plan): everything the company pays for is a PURCHASE ORDER — goods from a supplier, the rent, the electricity, the software, the wages of a month. An order carries an expense category; a category can be marked payroll, and then the order is wages: it leaves the bank on the payroll line of the cash flow and books as a payroll cost in the profit and loss. An order that brings goods is a vendor payment whatever category it carries, and one with no category and no goods is an operating expense. The order does NOT have to be approved: a draft is a plan the owner has made, and the forecast reads it. Wages are ONE NUMBER FOR THE COMPANY — not a person, not a rate, not an employer percentage — and individual salaries are not part of the program. The forecast reads orders and nothing else: a company with employees recorded and no payroll order in the window sees no wages in its projection and is told so in a warning, because one source for a figure is better than two that can disagree. Employees, payroll runs and bank statements keep their data, their routes and their screens — they are simply not in the menu, and an approved pay run stays readable for as long as the company exists. - Money out ahead (free on every plan, admin role): one screen that lists every payment the next simulation will make, in date order and in month groups, with the balance under each row. Each line names where its number comes from — a repeating rule, a one-off payment, an invoice a supplier sent, or a purchase order no invoice has replaced yet — and carries only the buttons that source allows: post, change or skip a rule date, or open the document. A Line column says which cash line each row leaves on, because after EXP-001 the rent and the wages are both a purchase order and two rows of the same shape must be tellable apart. A wage is corrected by opening its order, like any other order. Money coming in is left off, so the balance is a floor and not a forecast, and the row that crosses zero is marked — the same day the simulator reports as its low point. A what-if switch adds costs the owner is only considering — a van in March, a second driver in May — which are in no report, no balance and no statement, and which a simulation holds only when it is asked to. - Money, wages and profit (recording is free on every plan; bank-statement import needs Pro): bank, cash-box, card and e-wallet accounts whose balance is DERIVED from the payments that moved through them and never stored; every payment names the account the money left or entered, and a transfer names both, so a company with a bank and a till reads each of them on its own; a Payments by account report says what moved through each account, in and out, month by month; expense categories, each flagged fixed or variable and one of them markable as payroll, so rent no longer has to be recorded against an invented supplier called "Landlord" and the wages of a month have a line of their own; transfers between the company's own accounts as one row that moves two balances and changes no total. Employees, payroll and bank statements left the MENU with EXP-001 and kept everything else: the forecast reads a purchase order in a payroll category instead, for the company as a whole. The app computes NO statutory payroll figure — no income tax, no social contributions, no pension, no minimum-wage check: gross pay, every deduction and the employer-cost percentage are typed in or imported, and the interface says so wherever the numbers are entered. Bank statements are read from the bank's own CSV or XLSX with the column layout remembered per account; the same file imported twice adds no row, and a proposed match is scored on the amount to the cent, the days apart and the counterparty name, is pre-ticked when confident, and is NEVER applied until a human confirms it - Profit and loss (free plan, whole — no locked part): revenue net of the tax the document itself stamped, credit notes subtracting, foreign documents using their own frozen rate, and cost of goods sold taken from the cost stamped on each stock move at the moment it happened, so a delivery that arrives later cannot change a month that is already closed. Cash basis is the default and accrual is one switch away; the basis is written in the title, the footer and the CSV. Revenue on the cash basis follows payment APPLICATIONS, so a part-paid invoice splits across months and money received but not yet applied sits on its own line and is counted as revenue nowhere. Estimated cost from before the stamping is badged and dated rather than hidden. Plans cap only how far back a period may REACH (free 12 months, Pro 36, Business and Premium unlimited); four more money reports — cash flow by month, expenses by category, payroll cost by period — read the same single payments table, so a wage, a rent and a transfer can never be missed by a report that forgot a second source - Wholesale fulfillment (Business; AI parts Premium): promised dates and priorities, hard per-warehouse stock reservations, available-to-promise, an allocation engine that evaluates every warehouse combination against distance, split, late-risk and pick effort, bins and offline-capable pick tasks in walk order, outbound shipments with carrier tracking, and a control tower with per-order stage, ETA chain and risk - Partner program: 25% recurring commission on every referred subscription — https://skorsun.gumroad.com/affiliates ## Docs - [Documentation hub](https://inventory-system.com/docs): setup guides and the user manual - [Business simulator](https://inventory-system.com/simulator): what the simulator does with the orders a company has already entered; the tool itself runs at https://inventory-system.com/simulator-demo with no account, no email address and nothing stored — a sample wholesaler, played forward day by day. Yes. In Settings → Import, upload your Invent.mdb file and we'll bring across your locations, vendors, customers, items, bills of materials and opening stock. Duplicates are skipped, so you can run it more than once safely. ### Do I need to install anything? No. It runs in any modern browser on desktop, tablet or phone, and installs as a PWA on your home screen. The old Windows-only requirement is gone. ### What happens if my internet drops? You keep working. Golden Inventory is offline-first: sales, receiving, invoicing and POS all run with no connection, using data cached on the device. Every change queues locally and syncs automatically when you reconnect — with conflict-safe merges so nothing is lost. ### What happened to the XML branch-sync feature? It's obsolete — and that's a good thing. Every location now shares one cloud database in real time, so the thing you once exchanged XML files for just works. ### Does it work with my Shopify or WooCommerce store? Yes. Connect the store in Settings → Integrations: orders arrive automatically via webhooks (with polling as a fallback) — paid orders as sales receipts with payments, unpaid as sales orders to fulfill. Your catalog imports by SKU, and stock levels push back to the store after every sale so you never oversell. ### Can I run a restaurant with table service and a kitchen display? Yes. Golden Inventory has a full restaurant vertical: create rooms and tables, let waitstaff open tabs by seat with course tagging, fire courses to any browser-based kitchen display, and split the bill per guest. The café demo video and built-in manual walk you through setup in under 30 minutes.
